| Description | The Patient Services Manager, Dental Hygiene oversees day-to-day office operations and provides administrative, operational, and patient services support for the Dental Hygiene program. This position is responsible for coordinating departmental records, reports, schedules, financial documents, and other administrative processes to support efficient and accurate program operations. The Patient Services Manager serves as a key liaison for students, faculty, staff, patients, vendors, and other internal and external constituents, while also supervising assigned office personnel, temporary staff, and/or work-study students. This role supports communication, scheduling, recordkeeping, departmental activities, and general office functions to ensure smooth and professional operations within the Dental Hygiene program. For more information about our outstanding benefits, please visit: UNE Benefits Overview Responsibilities Oversee and carry out day-to-day departmental administrative functions. Supervise regular office personnel, temporary staff, and/or work-study students, including participating in hiring, training new employees, assigning and monitoring work, assisting with complex tasks, supporting performance evaluations, addressing staffing needs and work schedules, and elevating personnel concerns to the department director as appropriate. Coordinate, prepare, process, and monitor financial, administrative, and operational forms, records, reports, schedules, and other documents, ensuring timely and accurate completion by department and University personnel and/or outside individuals or organizations. Develop, organize, and maintain departmental files, records, databases, logs, and other record-keeping systems, including both manual and computerized systems. Maintain computerized departmental records using appropriate software, including entering and updating data, managing databases or reporting systems, and generating regular and special reports. Compile information from manual and computerized records and files for reports and in response to requests from supervisors or others. Perform administrative functions, including initiating and processing financial documents related to operating budgets, capital budgets, special accounts, and related areas; monitoring financial activity; maintaining financial records; and preparing related reports. Serve as an administrative liaison with students, faculty, staff, parents, alumni, vendors, and/or other key departmental constituencies by explaining policies and procedures, answering questions, coordinating services, handling special requests or problems, and referring matters to a supervisor as appropriate. Organize and coordinate departmental activities and events, attending to relevant details. Confer regularly with the immediate supervisor, department and University personnel, and/or outside individuals or organizations to plan and coordinate activities, exchange information, and resolve problems. Provide general office and administrative support, including answering phones, performing reception duties, preparing correspondence and reports, ordering office supplies, maintaining calendars, scheduling meetings, photocopying, screening and distributing mail, and related duties. Perform other related duties as assigned. Qualifications Associate degree in business or another appropriate discipline, plus three to four years of relevant clerical and administrative experience, or an equivalent combination of education and experience from which comparable knowledge and skills are acquired. Broad knowledge of general clerical, administrative, and office management practices. Excellent administrative and organizational skills, including experience organizing and maintaining moderately complex filing and records systems. Experience with computerized information systems. Strong reading, writing, and math skills. Some accounting or financial administrative experience may be desirable. Basic supervisory skills; previous supervisory experience preferred. Ability to work effectively with a wide variety of individuals inside and outside the University. Ability to function independently, with supervision, and as part of a team environment as necessary.
